Privacy Policy
This policy explains what personal data Northvex Solutions LLC collects through northvexsolutionsllc.com and during an engagement, why we collect it, who we share it with, and how long we keep it. It also sets out the rights you have over that data and how to contact us about them.
Who we are
Northvex Solutions LLC, trading as Northvex Solutions, is a professional services firm. We provide construction estimating and takeoff, BIM modelling, engineering support, shop drawings, plan review and bid support, together with web design, SEO, Google Ads, social media and branding for contractors.
We deliver our work remotely to clients in the United States and Canada. We are not a licensed contractor, we perform no construction, we provide no engineering design of record, and we make no site visits.
We are the controller of the personal data described in this policy. Our contact details are in the last section.
What we collect
When you request our capabilities deck, we collect your name, your business name and your email address.
When you send us an enquiry through the quote form, we collect the following:
- Your name.
- Your business name.
- Your email address.
- Your phone number.
- The content of your message.
- Any files you upload with the enquiry.
The documents you upload
The files you send us for pricing are construction drawings, specifications, bid documents and photographs. They are your confidential documents and we treat them as such.
We use them only to prepare your quote and to deliver the service you have engaged us for. We do not use them for any other purpose and we do not share them with anyone outside the categories of provider listed in this policy.
We keep uploaded project documents for the duration of the engagement plus 12 months. We hold them for that period so that we can support revisions and resolve any dispute about the work. At the end of that period we delete them.
If you would like your documents deleted earlier, write to us at info@northvexsolutionsllc.com and we will delete them on your written request.
Why we collect it and the lawful basis
We collect personal data for three purposes: to prepare a quote, to deliver the service, and to communicate with you about the engagement.

Where a lawful basis is required, we rely on the following:
- Contract performance, for enquiries and for engagements. We need your details to answer your enquiry and to carry out the work.
- Legitimate interest, for site analytics if we use them, so that we can understand how the site is used and keep it working.
- Consent, for any marketing email. We send marketing email only to people who have opted in.
Who we share it with
Once card payment is live, Stripe will process card payments on our behalf.
We do not sell your personal data. We share it only with the providers we need in order to run the site and deliver the work, and only for those purposes. By category, these are:
- Our hosting provider, which stores the site and the data submitted through it.
- Our email provider, which carries our correspondence with you.
- Our form and file handling provider, which receives what you submit through the quote form, including uploaded files.
- Our payment processor, Stripe, once card payment is live.
- An analytics provider, if we use analytics on the site.
Where your data is accessed
Our delivery team works outside the United States. The personal data you give us and the documents you upload are accessed by that team in order to prepare your quote and deliver the work.
Your documents remain confidential wherever they are accessed. Everyone who handles them does so only for the purposes described in this policy.
How long we keep it
We keep enquiry data, meaning the details and message content you send us when you get in touch, for 24 months after our last contact with you. After that we delete it.
We keep uploaded project documents for the duration of the engagement plus 12 months, then delete them. We delete them earlier on your written request, as described above.
Marketing email
We send marketing email only to people who have opted in to receive it. Sending us an enquiry or engaging us does not opt you in.
Every marketing email we send contains an unsubscribe link. Using it stops further marketing email from us. It does not affect the correspondence we need to send you about an active enquiry or engagement.
Your rights

We respond to every privacy request within 30 days.
At any time, you are entitled to have us:
- Give you access to the personal data we hold about you.
- Correct personal data that is inaccurate or incomplete.
- Delete your personal data.
- Stop processing your personal data where you object to that processing.
- Provide your personal data to you, or to another provider, in a portable format.
California residents
We do not sell your personal information. Our Cookie Policy at /legal/cookie-policy explains what cookies this site sets.

If you live in California, the California Consumer Privacy Act and the California Privacy Rights Act give you the following rights:

- The right not to be discriminated against for exercising any of these rights.
Visitors in the European Union and the United Kingdom
Where consent is the basis on which we process your data, you may withdraw that consent at any time. Withdrawing consent does not affect processing carried out before you withdrew it.
Your data is accessed by our delivery team outside the United States, as described above.
To exercise any of these rights, email info@northvexsolutionsllc.com. We respond within 30 days. You also have the right to complain to the data protection authority in the country where you live.
If you are in the European Union or the United Kingdom, the General Data Protection Regulation and the UK GDPR apply to the personal data we hold about you. They give you the following rights:

- Erasure of your personal data.
- Restriction of processing.
- Objection to processing.
- Data portability.
Children
This site is directed at businesses and is not directed at anyone under 18. We do not knowingly collect personal data from anyone under 18. If you believe a person under 18 has sent us personal data, email info@northvexsolutionsllc.com.
